Description

The VIS (Vendor Internal System) Dashboard is an internal web-based platform designed for both vendors and internal stakeholders at Telkomsigma. It centralizes three core workflows — product catalog, procurement information, and invoice management — into a single, structured interface that simplifies how vendors and internal teams track and manage procurement activities.

Problem

Problem

Managing procurement information and invoices across multiple vendors was a fragmented process. Without a centralized platform, tracking product catalogs, monitoring procurement status, and submitting invoices was inefficient and prone to miscommunication between vendors and internal stakeholders.

Research & Discovery

The design process started with a review of the existing dashboard version, which helped identify where the current flow broke down. Key pain points that emerged:

  • Product catalog, procurement, and invoice information were difficult to navigate in one place

  • The invoice submission flow was unclear, especially for procurements with multiple invoices

  • The interface lacked clarity on what actions vendors could and couldn't take

  • Card sizes were too small, making it hard to scan and read key information at a glance

These insights directly shaped the information architecture, visual layout, and the two core user flows built into the redesign.

Design Process

Using the existing dashboard as a reference, I mapped out the end-to-end flow before moving into high-fidelity design. The two key flows were: creating an invoice directly from the invoice menu by selecting a listed procurement, and submitting an invoice by starting from the procurement detail first. Special attention was given to supporting multiple invoices per procurement, which was a core business requirement.

Solution

The redesigned VIS Dashboard brings product catalog, procurement information, and invoice management into a unified, easy-to-navigate platform. Vendors can browse the product catalog, monitor procurement status, and submit invoices through two flexible flows. Internal stakeholders have visibility across all procurement and invoice activity without needing to create or modify records.

Reflection

This project reinforced how important it is to understand existing workflows before redesigning them. Starting from the previous dashboard version gave me a strong foundation, but also pushed me to question assumptions baked into the old design and find clearer, more intuitive solutions.
